What data we collect
When you use our free report tool, we collect:
- The URL of the help centre you submit for analysis
- Any release notes or additional context you provide
- Your email address, if you choose to provide it
When you contact us or enquire about our services, we collect:
- Your name and email address
- The content of your message
As part of our outreach activity, we may hold professional contact details — such as a business email address and job title — for individuals in roles relevant to our services. This information relates to professional roles at organisations rather than personal activity, and is sourced from publicly available information. We use this data solely to make contact about Evergreen’s services where we believe there is a genuine relevance to the recipient’s role. You can opt out of further contact at any time by emailing privacy@evergreen.help or by replying to any message we send you.
Automatically, when you visit our website, we may collect:
- Standard server logs, including your IP address and browser type
- Analytics data (pages visited, time on site) via privacy-respecting tools
We do not use advertising trackers or sell your data to third parties.
Why we collect it
We collect and process your data on the following legal bases:
- Legitimate interests — to provide the report tool, respond to enquiries, improve our service, and conduct proportionate B2B outreach to contacts in relevant professional roles
- Contract — to deliver services you have engaged us to provide
- Consent — where you have actively opted in, such as to receive updates from us
How we use your data
- To generate and deliver your help centre audit report
- To respond to your enquiries and provide our services
- To send occasional updates about Evergreen, if you have opted in
- To understand how our site and tools are used, so we can improve them
We do not use your data for automated decision-making or profiling.
Who we share data with
We use a small number of trusted third-party services to operate Evergreen:
- Anthropic — AI analysis of help centre content (data processed in accordance with their data processing terms)
- Vercel — hosting for our report application
- Ionos — hosting for this website
- Apify — web crawling of publicly accessible help centre URLs you submit
We do not sell, rent, or trade your personal data.
How long we keep your data
- Report submissions are retained for up to 180 days to allow you to revisit your report, then deleted
- Enquiry data is retained for up to 12 months, or for the duration of a client engagement
- You can request deletion at any time (see Your Rights below)
Cookies
We use only essential cookies required for the site to function. We do not use advertising or tracking cookies.
For website analytics, we use Plausible Analytics — a privacy-first tool that does not use cookies, does not track you across sites, and does not collect personal data. No cookie consent banner is required. You can read Plausible’s data policy at plausible.io/data-policy.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data (the “right to be forgotten”)
